Wrong EPFO exit date? Here’s how to correct it online step by step

Leaving a job comes with enough paperwork already. But there is one small detail that many employees may overlook, i.e., the date on which their employer marks them as having left the organisation on the EPFO portal. If this date is missing or wrong, it can create problems later, particularly when you move to a new job and want to transfer your provident fund (PF).

An incorrect exit date can also leave a mismatch in your employment records. That could lead to questions during the background verification process carried out by a new employer.

The good news is that eligible members do not always have to wait for their former employer to fix the mistake. The Employees’ Provident Fund Organisation (EPFO) allows members to update their date of exit online through their UAN-linked account, subject to certain conditions.

Before trying to make the change, employees need to check whether they meet the eligibility conditions.

According to a Moneycontrol report, EPFO members can update their date of exit only after two months have passed since they left the job. The date being entered must also fall within the month in which the previous employer made the last PF contribution.

There are a couple of other requirements as well. The member must have an activated Universal Account Number (UAN) linked to Aadhaar and access to the mobile number registered with Aadhaar, as an OTP-based verification is required to complete the process.

If you are eligible to make the change yourself, you can do it online through your EPFO member account.

First, log in to the official EPFO member portal using your UAN and password. Once you are logged in, go to the ‘Manage’ section on the home page and select the ‘Mark Exit’ option.

Before entering a new date, however, check your service history to see whether your previous employer has already recorded an exit date. This is particularly important if you believe the date already mentioned on the portal is incorrect.

If a date has been entered, do not simply replace it without checking your employment records. Your relieving letter, salary slips and other documents can help you establish the correct date.

Once you have verified the details, select the appropriate reason for leaving the job and enter the correct exit date. The date should match your employment records and should fall within the month of the last PF contribution made by your previous employer.

You will then need to complete Aadhaar-based OTP verification. The OTP will be sent to the mobile number linked to your Aadhaar. After successful authentication, you can submit the request.

There may be situations where the online facility does not allow a member to make the required correction. In such cases, the former employer may need to step in and correct the record.

If the employer does not respond or fails to resolve the issue, the employee can approach EPFO through its grievance redressal mechanism.

It is better to resolve the discrepancy as soon as it is noticed rather than waiting until you need to transfer or withdraw your PF.

The date of exit is not just another entry in your EPFO service history. It forms part of your employment record and can affect several PF-related processes.

EPFO requires the date of exit from previous employment when a member applies for an online PF transfer. Having the correct details can therefore make the process smoother when an employee moves from one company to another.

A wrong or missing date can also create inconsistencies in an employee’s employment history. This may become relevant during background verification when joining a new organisation.

There have been instances where employees between jobs reported problems during the hiring process because of overlapping or incorrect employment dates in their records. While an EPFO discrepancy does not automatically mean that a person cannot join a new company, it can result in additional questions and checks.

Employees should therefore make sure that the information on their EPFO account matches their actual employment history. Before changing the exit date, it is worth checking documents such as the relieving letter and salary slips rather than relying on memory.

Most importantly, members should use only the official EPFO portal for such updates. The EPFO member portal warns users against sharing sensitive information such as their UAN password, Aadhaar, PAN or bank details with callers or individuals claiming to represent the organisation.

A few minutes spent checking your EPFO service history can help avoid unnecessary delays when it is time to transfer your PF or start a new job.
